6. INCOME
The Host Organization
is the producer of the event. In this capacity, it is required to do its
utmost to gather the necessary means to organize the Symposium. In doing
so, it may freely solicit any and all public and private funding
organizations, institutions, sponsors and partners in any country. ISEA
also suggests the involvement of UNESCO for sponsorship. The Host
Organization also has the right to sales of catalogues, advertising,
derivative products, and entry fees. 6a. Participants fees
These should be established in consultation with the ISEA Board, and should be commensurate with previous symposia. A reduced registration cost will be made available to:
• Members of the Inter-Society
• Students
• People from disadvantaged backgrounds or countries.
ISEA membership will be accepted at the time of registration, and all registration information will include an ISEA membership application information. All membership funds and materials collected will be forwarded to the ISEA headquarters within 30 days.
In principle, speakers and performers get free admission. ISEA Staff and Board members are also granted free admission. ISEA encourages the Host Organization to provide for the participation of volunteers, for whom the registration fee should be waived and/or expenses paid.
6b. Subsidies
The name of the subsidizing party may be mentioned in all printed materials related to the Symposium. As the sole intermediary with financial partners and sponsors, the Host Organization reserves the right to decide the order, size and placement of partner logos and acknowledgments on all Symposium-related documents.
6c. Commercial Sponsoring
The name of the sponsoring party may be mentioned in all printed materials related to the Symposium, although naming rights to the sponsor is not permitted. In instances where heavy exposure of a sponsor is planned, permission from ISEA is necessary.
6d. Global insurance
The Host Organization will take out a global insurance policy for the Symposium. A copy of the policy should be forwarded to ISEA. The Inter-Society will not accept any responsibility for legal claims arising from or related to the symposium organization or event.

7. PROPOSAL SUBMISSION
Proposals to host an ISEA symposium are to be submitted to the ISEA Board approximately two years in advance of the event. A signed copy of these ISEA Symposium Guidelines must accompany the proposal. Any deviations from the guidelines must be explicitly stated and explained by the potential conference organizers within their proposal. After due consideration of competing proposals, the ISEA Board will select the site and notify the successful conference organizer in writing. ISEA’s Board will make the final selection on the basis of submission quality and its conformance with ISEA/Symposium goals and present guidelines
Each proposal must include the following:
1. A designated individual (the ISEA liaison), through whom all communication between ISEA and the organizers will be channeled.
2. A budget plan including the sources of funding.
3. A symposium theme.
4. Proposed registration fees.
5. A timetable, including months from the call for papers to the end of the conference.
6. A preliminary conference schedule.
7. A list of institutions participating in the organization of the ISEA symposium, together with a plan outlining the symposium organizational structure.
8. A description of facilities and resources for display of work, performances, display and performance spaces, technical support for these spaces.
9. A demonstration of the capacity for co-developing and organizing the LOC and IPC.
If such information is not available at the time of submission, prospective bidders must indicate which elements of the proposal are affected and give an estimate of when the information will be available. It is the bidder’s responsibility to update and complete the package prior to final selection by ISEA’s Board.

8. AGREEMENT BETWEEN THE HOST ORGANIZATION AND ISEA
The chosen host candidate will sign an agreement with the Inter-Society. The agreement will be signed by both a representative of the Host Organization as well as the person responsible for the management of the actual event (this cannot be the same person as the Host’s representative). The Host agrees that it will:
• do everything in its power to ensure that the symposium is organized in
accordance with these guidelines.
• submit progress reports to ISEA headquarters every three months.
• pay a fee, at present 00 (US), to the ISEA headquarters within six
months of being selected to host the event.
• commit to submitting a financial report and an activity report after the event.
• send all materials to ISEA headquarters.
• submit the updated database for the event to ISEA headquarters.
