GENERAL GUIDELINES

Structure and Content

The aims listed above imply that the Symposium is, by its very nature, thoroughly interdisciplinary. A conference comprises the main focus of the event. Each Symposium should offer great diversity in disciplines and maximum exposure to new and emerging paradigms. The symposia are not festivals, although art shows, performances and general events are important aspects of the event.

The content of the conference program is based on the results of an international Call for Papers & Participation, selected by an independent International Program Committee, which consists of internationally renowned experts in the field. The Host Organization is encouraged to include several invited speakers, performers, exhibitors, etc. in the program in addition to those selected through the jurying process.

The Host Organization is also encouraged to incorporate aspects of local culture and traditions (as they pertain to arts and technology) to make every Symposium a unique and rewarding cross-cultural experience.

Naming of the Event

The name of the Symposium is "International Symposium on Electronic Art", preceded by the number (for example 'Tenth'). Abbreviated, the Symposium is called ISEA, followed by the year of the symposium (for example ''ISEA97"). On all symposium announcements, the symposium must be announced in this way: "ISEA[year], [Number] International Symposium on Electronic Art".

For example: "ISEA2000, Tenth International Symposium on Electronic Art".

This official name can be followed by a translation in the language of the host country.

ELEMENTS OF THE SYMPOSIUM

Each Host Organization proposes and coordinates their own program structure. Each Symposium program is developed from a core set of sessions to provide a series of dynamic environments for the presentation of ideas which fuel current research.

Core sessions include:

Papers and Panels

• offer an open discussion on themes relating to each Symposium

Posters sessions

• permit artists and institutions to showcase new projects and works

Round Tables

• informal discussions around a proposed theme

Workshops

• offer hands-on training for new technologies, software and information

Tutorials

• offer introductions to diverse fields of electronic art for newcomers to that field

An ISEA General Assembly

• the annual general meeting of members

Publications

• each Symposium publishes a book of abstracts and the official Symposium Proceedings; other documents are also published such as CD-ROMs, catalogues, etc.

The conference is surrounded by (optional) events such as:

Electronic Theater

• screens a selection of computer animation and film works

Electronic Art Exhibition

• displays interactive art, photography, installations, sculptures

Concerts and Performances

• include a range of musicians, dancers, etc

THE INTERNATIONAL PROGRAM COMMITTEE (IPC)

The Host Organization is responsible for appointing an International Program Committee (IPC), consisting of the best experts in their field. The role of the IPC is to jury applications submitted to the Host Organization for inclusion in the event.

Composition of the IPC:

• The number of members to the IPC is approximately 15.

• The Host Organization will present the ISEA Board with a list of nominations for the IPC, developed in consultation with the ISEA Board, from which the ISEA Board will choose half of the number to be placed on the committee. The Host Organization will choose the other half.

• The composition of the IPC will be as diverse as possible and should reflect ISEA's concerns for gender representation and cultural diversity; every efforts should be made to include at least one representative from each continent.

• The expertise in the IPC should be divided over a broad range of disciplines in the electronic arts.

• The IPC is responsible for an appropriate balance of the different disciplines in the program

• Several members of the IPC chosen by the Host Organization should preferably be located in the vicinity of the Host Organization headquarters.

• IPC members for any given Symposium should not be permitted to submit a paper or project in the category for which they are assessing proposals.

THE PROGRAM

The content of the Symposium is developed as follows:

• The Host Organization circulates a Call for Papers & Participation for the Symposium

• The Host Organization sends each proposal to at least two members of the IPC (according to their expertise).

• The role of the IPC is to jury, rank, and select proposals and papers.

• The Host Organization is encouraged to include several invited speakers, performers, exhibitors, etc. in the program in addition to those selected through the jurying process.

• A Preliminary Program is proposed to the entire IPC. The IPC must have the chance to comment before the official Preliminary Program is printed.

• The Preliminary Program is distributed on a large scale.

• The Final Program is made available to Symposium participants only.

GUIDELINES FOR THE HOST ORGANIZATION TO PROMOTE CULTURAL DIVERSITY:

• Submissions for juried sections of the Symposium (exhibitions, performances, papers) should include an option to indicate if a submission is from a member of an under-represented community, especially if this is relevant to the jurying of the work.

• Submitters who believe that the cultural context of their work requires additional explanation for proper jurying should be given the option to provide supplemental materials.

• Juries should include some one who is responsible for insuring that such work is in fact reviewed in context.

INCOME

The Host Organization is the producer of the event. In this capacity, it is required to do its utmost to gather the necessary means to organize the Symposium. In order to do so, it may freely solicit any and all public and private funding organizations, institutions, sponsors and partners in any country. It also has the right to sales of catalogues, advertising, derivative products, and entry fees.

1. Participants fees
These should be established in consultation with the ISEA Board, and should be commensurate with previous symposia.

A reduced registration cost will be made available to:

• Members of the Inter-Society

• Students

• People from disadvantaged backgrounds or countries.

ISEA membership will be accepted at the time of registration, and all registration information will include an ISEA membership application information. All membership funds and materials collected will be forwarded to the ISEA headquarters within 30 days.

In principle, speakers and performers get free admission. ISEA Staff and Board members are also granted free admission. ISEA encourages the Host Organization to provide for the participation of volunteers, for whom the registration fee should be waived and/or expenses paid.

2. Subsidies
The name of the subsidizing party may be mentioned in all printed materials related to the Symposium. As the sole intermediary with financial partners and sponsors, the Host Organization reserves the right to decide the order, size and placement of partner logos and acknowledgments on all Symposium-related documents.

3. Commercial Sponsoring
The name of the sponsoring party may be mentioned in all printed materials related to the Symposium, although naming rights to the sponsor is not permitted. In instances where heavy exposure of a sponsor is planned, permission from ISEA is necessary.

4. Global insurance
The Host Organization will take out a global insurance policy for the Symposium. A copy of the policy should be forwarded to ISEA.

THE ROLE OF ISEA IN THE SYMPOSIA

• ISEA coordinates the continued occurrence of the symposia

• ISEA nominates half of the members of the IPC in consultation with the Host Organization

• ISEA will supply its electronic networks and database of addresses to the Host Organization

• ISEA will actively promote the Symposium, and will acknowledge the Host Organization as the producer of the event in all communication related to the Symposium.

• ISEA will assist in the distribution of the Preliminary Program (print and electronic form)

• Through its Board of Directors and advisory committees, ISEA will provide advice, guidance, and consultation

• Through its Board , Staff, and Members, ISEA is prepared to take on certain "special projects" relating to the Symposium (i.e. a webcast). These special projects are negotiable, but must be decided and agreed upon by all parties in advance. Special projects should be open to member participation, and should include an open call.

ISEA will hold a General Membership meeting during the Symposium, preferably during the final session. Time and site are decided in consultation with ISEA. This meeting will be announced in the Preliminary and the Final Program.
